We are seeking a Design Team Member to serve as assistant to Owner/Principal Designer Kelle Contine, with at least 3-5 years of experience in the industry. Exact position, title, and salary range will be based upon Candidate’s experience and skill level. Qualifications

This position will report to KCID Owner/Principal Designer, Kelle Contine (KC). As a full-time position, this role will include, but is not limited to, the following duties:

Serve as KCID Principal’s Design Assistant/Personal Assistant
• Overall daily collaboration with Kelle Contine (KC) to ensure KCID runs smoothly and efficiently, with direct involvement in design proejcts, internal operational efforts, team building events, new business coordination, and occasional personal errands/assistance to KC as requested.
• Assist KC with managing and developing multiple design projects at one time, including KC specific efforts direct with clients and KC involvement on full KCID projects with/led by others on KCID design team.
• Involvement in design projects to include all aspects of process, from initial budget review and project schedule development, assistance on scheme and package research, selection and documentation, vendor coordination, etc as project and KC may require.
• Provide production support and/or full documentation for execution of design concepts including but not limited to: full CAD construction/finish documentation, as-built CAD drawings, CAD drawing redlines, finish
specifications/spec package development, 3D modeling and rendering, furniture selection and presentation development, etc.
• Assisting KC with all scheduling, including internal team collaborations, operational efforts, client and industry meetings, KCID events, showroom tours, CEU reach outs, and personal schedule coordination on occasion.
• Prepare for and accompany KC at key project milestones, including both in office and on location, for client facing efforts, site visits, installations, photoshoots, etc. Preparation to include efforts from printing, plotting and deliverable work to clean up of meeting space, coordination of any meals or refreshments, and set up before/filing materials after meeting.
• Inclusion in Furniture, art and accessory package development, to include initial budgeting within full FFE
Allowance Spreadsheet, research, pricing, selection and presentation of full packages with KC, collaboration with the Procurement Team on providing selected FFE specifications for warehouse and ordering schedule
coordination, budget/timeline confirmations, and input of items/review of purchase orders within KCID procurement software.
• Ongoing coordination with Procurement team following order placement, including weekly updates for schedule consideration, monthly Expense Report reviews, reselections and damage control, and full logistics development and review for project installations. Full participation in key installations also
expected (both local and nationwide). Potential participation in photoshoots following installations may be presented.
• Flexibility to work with all Design Team members in different collaborative environments and in varied project progress points to achieve overall team/project goals, with directive from KC.
• Work with other KCID Assistants for typical office organizational needs, such as receiving/unpackaging and distribution of all shipments received for samples, submittals, and other materials, library and open studio
organization, supply review and purchasing, and general office tidiness and management.
• Managing all KC professional efforts such as documenting expenses (receipts, fees, etc), assisting KC with timekeeping and time input to internal software, monthly invoicing and project financial reviews, CEU and License upkeep, and other KCID efforts that may arise at any time.
• Assisting with occasional KC personal efforts, such as personal home related tasks, family-oriented efforts (travel planning, minimal school pick up, etc), general errands, gift coordination, and overall flexibility and availability for revolving tasks/requests and priority shifting. Attention to balance between personal and professional commitments is a must.
• Be present at daily phone call and/or in person meeting with KC for review of tasks for day, as well as a weekly follow up for all items completed vs outstanding for planning and billable purposes.
• Attendance at weekly staff meetings/video calls also required.
• Maintaining daily time sheet entries are required. Understanding of project proposals, service budgets and time management will be required. Intermittent review of project invoicing and input on delegation to maintain contract budgets may be included.
New Business + Client Relations Efforts (Also under direct Kelle Contine supervision)
• Overall management of Business Development, from potential client initial reach out through proposal submission; including collaboration and discussions with KC and Directors pending each project team.
• Keep track of all incoming potential projects from various communication methods – email, design intake form via website, phone calls to office, and direct reach outs to KC/other team members. Maintenance and update to design intake form on website will be ongoing responsibility.
• Handle initial introductory correspondence between KCID Team and potential new client; this involves scheduling initial calls/meetings, helping KC determine project team, working with Marketing Coordinator to ensure KCID presentation is prepared per Client needs, and follow up regarding potential client feedback. Possible intermittent participation in initial project calls and/or in person client meeting with KC.
• Keep internal spreadsheet with potential projects up-to-date and correspond with KC and Directors to make sure spreadsheet is consistenly accurate and ready for review at bi-weekly New Business Meeting.
• Maintaining ongoing relationships with current, future and past clients as well as builders/architects/industry partners, often consists of sending/delivering occasional guest/treats, thank you gifts for referrals, handwritten notes, coordination of Holiday Cards and Gifts.
• Assisting in the creation of new project proposals with directive from KC, editing when necessary, participating in typical final review process on an as needed basis. The ideal candidate will have:
• Minimum 3-5 years of experience working on interior design projects in a collaborative Design Firm environment (both residential and commercial experience preferred)
• Bachelor’s degree in Interior Design or related field from a CIDA (Council for Interior Design Accreditation) accredited college or university
• In depth knowledge of FF&E, color and material is required; Familiarity with the typical Procurement process appreciated.
• Experience in all phases of an interior design project, from initial programming and client relations through schematic design/design development, construction documentations and administration and final punch
list creation/review.
• Experience in development of Construction Documents and standard industry procedures related to such
• Proficiency in AutoCAD, Google Sketch Up, Adobe Creative Suites (Adobe PDF, Photoshop, Illustrator and InDesign most notably), Microsoft Office Suite (Excel, Word, Outlook, Powerpoint). Familiarity with QuickBooks for time input preferred.
• Experience as an Assistant or similar supportive role to Executive/Lead Team Member
• The ability and willingness to travel intermittently for out-of-town projects and/or trade shows. Typically, travel can run anywhere from 2-5 days and is planned a least 1-2 weeks ahead of time, if not months.
• Familiarity with Mac equipment – KCID is a Mac based firm.

• Open to working in a hybrid remote/in-office situation. KCID is currently transitioning back to an in-office work schedule following the COVID-19 Pandemic and will require daily office attendance from all team
members. This Assistant position may also work from and meet at KC personal home on occasion.
